What is PayByPhone Business?
PayByPhone Business is the corporate solution for business parking and expense management. Our PayByPhone Business portal gives an easy, secure way to manage your business parking payments so you can run your business and your drivers can park with our mobile app experience.
How do I sign up for PayByPhone Business?
PayByPhone Business has released a pilot product in North America and the UK. You can sign up here to be on the wait-list and we’ll notify you when our self-service version becomes generally available. If you have any questions, reach out to us at firstname.lastname@example.org
How do I access my PayByPhone Business account?
When you have signed up for PayByPhone Business, your account manager will invite you to create an account to access the PayByPhone Business portal.
You will have 24 hours to create an account and set a password before your link expires. If your link expires, contact your account manager to issue a new link. Once you have access, you can add drivers and vehicles for business parking.
I can’t log in. Help?
If you forgot your password, on the PayByPhone Business login page, click Forgot your Password? and follow the instructions. PayByPhone will email you a passcode to enter to verify your identity and then you can reset your password.
If you are certain the issue is not related to your password, there are a number of other ways you can take to troubleshoot your problem:
- Is your browser compatible? The PayByPhone Business Portal works on Chrome, Firefox, and Safari.
- Are you on a VPN that restricts access to certain websites? If you are on a VPN, contact your IT department to diagnose your issues.
- What are your Cookie settings? PayByPhone does collect necessary cookies. You may need to reset your cookie settings or clear your cache to be able to access the portal.
If you have tried the above, working with your IT department to try to resolve the problem and you still cannot log in, please contact your PayByPhone account manager and we can work with you to gain access to your account again.
How do I enable business payment access for my drivers?
During the pilot, PayByPhone will link a business payment method to your authorized drivers based on the information provided by you, the account owner. The next time your drivers access their PayByPhone mobile app, they will have access to your business payment method to park with any business-approved vehicle.
How do my drivers pay for parking?
The business credit card will automatically appear in your driver’s app when your driver is activated.
Your business is responsible for managing this list of authorized drivers, approved vehicles, and valid business payment methods.
Can drivers see the business credit card number?
Your driver will only ever see the last 4 digits of the business card registered to your account. In the PayByPhone mobile app, this will help your drivers to identify between their multiple payment methods. This might be the case if your drivers have different payment methods for different jobs within the same company.
Can I assign the business payment method to individual drivers?
At this time, any card added to the PayByPhone Business portal will be available to all your drivers in the Drivers list. If a driver is only allowed to park using a specific business payment method, they will be able to identify the cards based on the last 4 digits of the card or by the card name.
Can my driver have a business credit card for business vehicles and a personal credit card for personal vehicles in the mobile app?
Your drivers can have as many payment credit cards as they need on their account to pay for parking. Business and personal methods will co-exist side by side. However, the business payment method associated with your PayByPhone Business account will only work with business-approved vehicles (vehicles that have been added to the list of approved vehicles in the PayByPhone Business portal).
If your driver chooses to park and pay with a business payment method, these parking transactions will appear in the PayByPhone Business portal for you to view and manage.
Is it safe to store my business credit card information in the PayByPhone Business portal?
PayByPhone is a PCI DSS Level-1 Compliant organization and regularly undergoes security and compliance checks. Each year PayByPhone completes more than 100 Million payment transactions globally.
How long will it take to add new vehicles to the list of approved vehicles?
You can add vehicles to your vehicle list in the PayByPhone Business portal at any time via bulk upload or individually. Once added, the vehicle(s) become Business Approved automatically in the system.
Your drivers will need to add any approved vehicle(s) in the PayByPhone app if the vehicle does not already exist on their account. Vehicles will not be “pushed” to the driver’s app accounts automatically. Drivers always manage their own list of vehicles in their app and can add or delete vehicles from their app at any time.
Can temporary or rental vehicles be added to the PayByPhone Business account?
Any authorized vehicle can be added to the Vehicle list in the PayByPhone Business portal to indicate that the vehicle is Business Approved, allowing your drivers to pay for parking with this vehicle on your business payment method.
To remove a temporary and/or rental vehicle, simply delete the vehicle from the Vehicle list in the portal. The vehicle will still appear in your driver’s PayByPhone app, but it will no longer be Business Approved and parking cannot be paid for on your business payment method.
How long does it take to add and activate my drivers in the PayByPhone Business portal?
You can easily add your drivers to the portal via bulk import or individually. To activate this driver, on our pilot version, you will need to contact PayByPhone to link this driver to your business payment method.
How come I cannot edit my driver’s phone number in the PayByPhone Business portal?
The driver’s phone number is used to link the driver’s business profile information to the driver’s PayByPhone app user account. If the phone number is incorrect, you will need to delete this driver and re-add the driver to the portal.
How can I get data on where my drivers have parked and who is parking on the business payment method?
Log into the PayByPhone Business portal and navigate to the Reports section. Next, update your search criteria and click ‘Load’. All results for that criteria will be displayed and can be downloaded.
If the Reports data does not load, try shortening the date range. For example, if you are trying to search for three months worth of data, try just searching for a month.
How quickly will the parking session appear?
On the Parking Sessions page, the most recent 72 hours of parking sessions will appear. At the moment, Reports are not available in real-time. It may take up to 2 hours for the parking session to appear.
For tax and traceability purposes, can I download 3 years of reports?
Yes, account owners and analysts must choose a start date and end date and download the report(s). PayByPhone will store the data for 3 years while the account is active and subscribed to the PayByPhone Business service to access that data.
Do all my drivers need to create a PayByPhone account?
Drivers who want to use your business payment method will need to have a phone with the PayByPhone app installed and a PayByPhone account. If they have been using the app as a guest, they will need to register first for a member account.
The link between your drivers, their phone numbers, authorized vehicles, and your business payment method happens through PayByPhone Business.
How many vehicles can a driver have on their account?
There is no limit to the number of vehicles added to a PayByPhone app account. Drivers can manage their own list of vehicles in their app. Drivers can add business-approved vehicles to their app at any time.
What happens if my driver parks a business vehicle with their personal credit card accidentally?
This parking session will be valid. This functionality is built to support drivers who have vehicles that they use for both business and personal purposes.
If my driver chose the wrong vehicle to park, is there any way to change a vehicle during the parking session after payment has been made?
Your driver will need to submit a second parking session with the correct vehicle and then contact PayByPhone or the Parking Operator to submit a request for refund eligibility.
How can a driver get a parking refund?
This is dependent on the Parking Operator or Authority to whom they have made payment via the PayByPhone app. Refund policies vary.
PayByPhone does not own any of the revenue collected. This is owned by the Parking Authority and PayByPhone will need to assess where the parking session was made before determining if a driver is eligible for a refund.
In Europe, do my drivers, who use the PayByPhone app, need to enter the business card’s CVV if requested?
Some parking operators request a CVV for their location and PayByPhone must forward that request on to the users. However, if you entered a CVV or responded to a Strong Customer Authentication challenge when you added your business payment method, PayByPhone is able to apply for Merchant Initiated Transaction (MIT) exemption and your drivers will not have to enter this security information.
How does the monthly billing get calculated?
PayByPhone Business is charged based on a monthly subscription plan. Each plan includes a specific number of vehicles. If you decide to add any additional vehicles outside of your current subscription, the charge will apply to each active vehicle on your monthly bill.
An active vehicle is any additional vehicle you’ve added to your account that is parked at least once per month.
What happens to my pricing plan if my vehicle inventory changes significantly?
We understand that business needs evolve. If your vehicle inventory downsizes or expands, we’d be happy to help you pick the plan that’s right for your business. Please contact your account manager at email@example.com to discuss the best-suited pricing for your business.
When will I receive my first bill?
Our billing is based on a 30-day billing period. For example, if you subscribed to the service on February 15, 2021, you’ll be invoiced on March 1 for the booked portion of the service used in February.
How do I make a payment to myPayByPhone business subscription?
The PayByPhone Business service fee is issued through an invoice. Contact your account manager on the different ways you can pay your invoice.
Can I cancel my subscription at any time?
If you’ve had a change of heart and would like to cancel your subscription, please give us a one-month notice. The cancelation notice must be emailed to our Customer Success team at firstname.lastname@example.org. If you unsubscribe or consume any portion of your monthly service, you will be charged the full monthly amount for your final month of the service.
